Project Manager

Summary

Own shows from signed proposal through final invoice. You will lead cross-functional planning, convert designs into executable plans, build realistic schedules and budgets, coordinate labor and vendors, and run show days with calm, decisive leadership. Success looks like frictionless pre-production, clear handoffs, tight comms, and wrap-ups that improve the next one.

The Difference You Will Make

  • Pre-Production

    • Translate scope, CADs, and riders into buildable plans with timelines, room-by-room equipment lists, and power loads

    • Create project schedules and Run of Show documents using the Limitless room-per-row layout standard

    • Lock logistics: docks, access, power, rigging points, generator sizing, parking, security, fire watch, overnight storage

    • Issue and track POs and COIs. Confirm venue rules and permitting. Coordinate vendors and rentals

    • Drive internal kickoffs and tech briefs. Clarify deliverables, constraints, and show-critical risks

    Resourcing and Budget

    • Build labor plans and calls in Lasso. Assign leads and multi-ops. Balance in-house vs freelance mix

    • Manage project budgets and margins in Current RMS. Track actuals vs estimate and raise flags early

    • Approve time, manage per diems, and reconcile expenses post-show with QuickBooks and receipts

    Communication & Stakeholder Management

    • Serve as the primary hub of communication between Account Manager, General Manager, client, and show technicians

    • Run weekly client check-ins. Drive decisions, dependencies, and content deadlines

    • Collect assets via the Show Advancing Form and maintain a single source of truth

    Show Execution

    • Lead load-in, build, rehearsal, show, and strike. Enforce build order sequencing and safety

    • Run cue-to-cue with audio, lighting, video, and stage teams. Lock sound checks and changeovers

    • Make informed calls on-site. Keep the schedule realistic, pivot when needed, document change orders

    Post-Production

    • Oversee strike and load-out protection of venue and gear

    • Capture learnings, update SOPs, close out in Current RMS, and support invoicing within 3 business days

    • Lead internal post-mortems with actionable improvements

  • Current RMS for quoting, inventory, opportunities, and documents

  • Lasso for labor scheduling and crew communication

  • Trello for project boards and status

  • Google Workspace, RingCentral, Slack

  • Zapier-driven workflows and Elementor web forms for asset intake

  • QuickBooks for expense reconciliation and invoice support

Your Expertise

  • 3–5 years managing live event or touring productions at scale with AV integration

  • Strong technical literacy across lighting, audio, video, LED, power, and rigging fundamentals

  • Proven experience building crew plans, reading CADs, and advancing shows with venues and clients

  • Command of budgeting, margins, and change order discipline

  • Calm, direct communicator who sets expectations and holds teams accountable

  • Comfortable with early mornings, late nights, weekends, and travel as needed

  • 90 days You deliver two multi-room shows on margin and on time. Clients and internal teams see you as the clear point of contact

KPIs

  • On-time milestones and load-in completion rate

  • Gross margin vs estimate per job

  • Change orders captured and approved before scope creep lands on site

  • Positive client and internal feedback on communication and clarity

Schedule and Compensation

  • Full time Monday to Friday with show-driven evenings and weekends

  • Salary plus performance bonus tied to project margin and communication effectiveness

  • Paid time off

Pay Range

Compensation:

  • Base salary of $75,000-85,000 based on experience.
